QUB Nightline Pen Pal Scheme Terms and Conditions

  1. Our Commitment
    1.1. Welcome to the QUB Nightline Pen Pals (“scheme”). QUB Nightline (“we”, “us”, “our”) has recognized the strains lockdown has on the student community and want to give students the opportunity to reach out and create new connections. It is important to note that this is separate to our listening service and no Nightline listening volunteers will be participating in the scheme.
    1.2. We care about your privacy;
     1.2.1. By accessing our services, personal information will be shared. Herewith you acknowledge that you accept these practices and outlined in the policies below.
    1.3. This scheme is solely an event presented by QUB Nightline; no Nightline volunteers will partake in this scheme.
  2. Registration and Eligibility
    2.1. Only students over the age of 18, registered at Queen’s University Belfast are permitted to partake in this scheme.
    2.2. Students need to provide both student number and student e-mail, for the registration process and fill out the pairing questionnaire.
    2.3. Students need to adhere to the University Social Media regulations. Bullying, harassment, discrimination or unsolicited photos will not be tolerated;
    2.4. Participants will conduct themselves in a respectable manner, and treat each other with mutual respect
     2.4.1. By participating in this scheme, students take full responsibility for their actions and content of communication
     2.4.2. Nightline takes no responsibility for inappropriate users, users’ views expressed.
  3. Rules and Guidelines
    3.1. Registration opens on the 24th of February until 10th of March 2021.
    3.2. The matches will be released to the participants by the 16th of March.
    3.3. Participants will be matched by our best efforts.
     3.3.1. If there is an uneven number of participants, you are willing to be placed in a group of 3 (three).
    3.4. Participants may withdraw from the scheme at any time.
     3.4.1. If the participant informs QUB Nightline to withdraw from the scheme, both parties involved will be informed and must cease communication.
    3.5. If a participant experiences any form of harassment mentioned in 2.3, QUB Nightline should be contacted immediately.
     3.5.1. The inappropriate participant will be removed by the scheme, upon further investigation.
  4. Privacy Policy
    4.1. “Personal Information” refers to personally identifiable information of individuals partaking in the Pen Pal Scheme.
    4.2. We will only use data set forth in the privacy policy, this policy disclosed the privacy practices of the Pen Pal Scheme and what information will be collected and used for the services.
    4.3. The Privacy Policy may be amended at any time, with notice to users.
    4.4. Information Collected and Usage
    4.4.1. We collect personal information of registered students at Queen’s University, this includes student number, student email and information provided on the pairing questionnaire.
     4.4.2. We use the aggregate information to analyze and conduct the Pen Pal pairings.
     4.4.3. Personal Information will be stored by QUB Nightline, until the end of the academic year, and will henceforth be removed from the storage.
    4.4.4. Upon withdrawal of the scheme, any personal information will be deleted.
     4.4.5. We make good faith efforts to maintain security of all personal information.
    4.5. Sharing Personal Information
     4.5.1. We will not be sharing your information with a third party, unless authorized to do so.
     4.5.2. We believe in good faith that the law protects the rights of our users.
    4.5.3. We may use and disclose private information, to comply with any court order, governmental inquiry or subpoena, any other action required by law to protect the property and personal safety of our users.
     4.5.4. We may also disclose personal information to prevent or trace any abusive users of the scheme.
  5. Disclaimer
    5.1. We cannot guarantee a perfect match, but will take reasonable steps to ensure participants are pair in an appropriate manner.
    5.2. We do not take responsibility for participants opinions or actions, yet will be dealt with any form of harassment, mentioned in 2.3, 3.5, and 3.5.1, accordingly.
    5.3. While we have taken reasonable steps to limit use of private information, no security measures are perfect or impenetrable.
